Benefits

Three reasons for AI and automation

01

Cut costs

Recurring work runs automatically. Fewer manual steps mean less working time, fewer errors and less rework.

02

Work more efficiently

Processes run faster and follow fixed rules. Your team gains time for tasks that need experience and judgement.

03

Grow revenue

Enquiries are answered faster, leads are not lost and sales has more time for conversations with customers.

Examples

Five examples of AI and automation

These five areas show typical examples from our projects. Far more can be automated: almost any process that repeats and follows clear rules.

Example

Lead management

Enquiries from all channels come together, are scored and assigned to the right person. Follow-up and handover to sales run on fixed rules.

  • Lead scoring
  • Assignment in the CRM
  • Automated follow-up
200+These are just five of many possibilities.More examples from over 200 automations delivered

Experience

We have already delivered over 200 automations

The five examples above are only a selection. In most companies the potential is much bigger: administration, sales, marketing, purchasing and HR all have many processes that can be fully or partly automated. On the process day we find out where it pays off most for you.

  • Check and book invoices
  • Create quotes
  • Schedule appointments
  • Sort and answer emails
  • Route support tickets
  • Onboard new employees
  • Pre-screen applications
  • Manage contracts and deadlines
  • Sync data between systems
  • Monitor stock levels
  • Process orders
  • Handle complaints
  • Write meeting minutes
  • Translate texts
  • Schedule social media posts
  • Reply to reviews
  • Send reports
  • Analyse time tracking
  • Maintain master data
  • Build a knowledge base
  • Enrich leads
  • Maintain product data
  • Send payment reminders
  • Extract data from documents

Process day

One day for your processes

On the process day we spend a full day analysing your existing processes and find out where AI and automation deliver the greatest benefit. At the end you get a process report you can work with straight away.

  1. 01

    Analysis

We look at your existing processes in marketing, sales, project management, data and analytics, and administration.

  2. 02

    Interviews

Through interviews and questionnaires we talk to the people responsible for each area.

  3. 03

    Potential

We show where AI and automation cut costs, speed up processes or bring in revenue.

  4. 04

    Prioritisation

We rate every opportunity by benefit and feasibility and put them in order.

Process report

What you get after the process day

  • Recommended automations with priority and expected benefit
  • A non-binding price range for implementation
  • What your team can implement itself after training
  • Required infrastructure, systems and interfaces
  • A roadmap for the next steps

Division of tasks

Division of tasks between AI and team

AI and automation take over recurring work. Responsibility and judgement stay with the people in the company.

automation

Recurring processes

Transferring data, routing enquiries, filing documents, creating reports, sending deadline reminders and preparing drafts. These steps follow fixed rules and run reliably in the background once set up.

team

Strategy and approval

Setting goals, reviewing results, deciding on exceptions and approving content. AI can produce results that sound convincing and are still wrong. That is why every workflow has a defined point where a person reviews.

Process

How we work together

We start with the process day. It results in the process report, and on that basis we implement the automations.

Step 01

Process day

We spend a full day analysing your existing processes, talk to the people responsible and identify where AI and automation pay off. More about the process day

Step 02

Process report

You receive a report with the recommended automations, their priority, the expected benefit, a price range for implementation and a roadmap.

Step 03

Automate

We implement the automations, connect them to your systems and train your team. Depending on the automation, the result is:

  • Cut costs
  • Work more efficiently
  • Grow revenue

More services

Automation working together with marketing and Sales

In most projects, automated processes work with data from marketing and sales. Enquiries from campaigns go into lead management, reports feed into media planning, and customer feedback is processed in customer experience management.

Typical processes
Assign form enquiries in the CRM automatically
Reports that update themselves
Approvals with fixed routes and deadlines
Name and file documents automatically

FAQ

Frequently asked questions about AI and automation

Short answers on getting started, timing and working together.

Is the process day eligible for funding?+

Yes, for SMEs in Germany the process day can be subsidised through the BAFA funding programme for business consulting. The subsidy is 50 percent in the western German states and 80 percent in the eastern German states. We take care of the application for you. More about funding

Where do we start if the budget is limited?+

With a single process that happens often, follows clear rules and carries little risk, such as filing, reports or the first handling of enquiries. That keeps the effort small and the benefit measurable. What you learn helps with the next steps.

How long until the first workflow is live?+

That depends on how many systems are connected, how clean the data is and how clearly the rules of the process are defined. A simple, clearly scoped process is implemented much faster than one that involves several departments.

Do you work with our IT team?+

Yes. Your IT team knows the systems and access rights, we bring the method and capacity to build. Often we build the workflows and then hand over operation to IT, or we keep running them if you prefer.

What should we prepare before we start?+

A clear goal, a responsible person in the company and an overview of where the data is and who may access which systems. We work out everything else together during the analysis.

Is automation worth it for a small team?+

Yes, that is exactly where every hour saved counts. Repetitive processes are the best fit. Small teams do best starting with a single process and simple tools so that costs and maintenance stay low.
